Description
The Front Desk Assistant (Seasonal), under supervision, is responsible for assisting the Green Farm Maintenance Facility with supporting operations of the front desk, completing mileage logs and other administrative functions required of the Division. Performs responsible and varied data entry work, involving some responsibility, complexity, and variety. Performs related clerical and/or technical work as required. Performs other duties, as assigned.
Examples of Important Duties
Front Desk Support
- Greet guests as they arrive and directs visitors to the appropriate person and office.
- Answers, screens, and forwards incoming calls.
- Ensures reception area is tidy and presentable, with all necessary stationery and materials.
- Maintains office security by following safety procedures and controlling access via the reception desk (monitors logbook, issues visitor badges).
Administrative Tasks
- Checks conference room calendars and ensures rooms are set up for scheduled events.
- Sorts and distributes incoming inter-office and external mail.
- Assists Budget and Purchasing Assistant with processing invoices.
- Maintains Green Farm Emergency Contact List.
- May assist Senior Trades Shop Supervisors in data entry tasks.
- Assists with June and December Bi-Annual Inventory.
Vehicle Pool Reservations/Tracking
- Collects and records data for vehicle mileage logs and inspection logs, including take-home vehicles.
- Assist with Fleet’s FASTER software data entry and administrative tasks as needed.
Communication
- Reports and resolves issues in a timely manner.
- Provides supervisor with regular updates of activities performed and expectation for work to be initiated.
Minimum Qualifications
No experience or training is necessary except for specialized skills (for example typing) or licenses/certificates (for example, Red Cross Life Saving Certificate) that are directly related to the job.
