The Rose Kennedy Greenway Conservancy, the non-profit responsible for the management and care of The Greenway, is seeking a highly motivated and reliable individual for a full-time position as Administrative Coordinator. The Administrative Coordinator will provide broad administrative and organizational support to the Executive Director, Board, and staff to further the Rose Kennedy Greenway Conservancy’s goals. This position offers an excellent opportunity to develop and strengthen administrative skills, learn about nonprofit leadership and governance, and advance a career in nonprofit administration.

Responsibilities

Executive Support

  • Administratively support the Executive Director, collaborating on a dynamic schedule to coordinate internal and external meetings.
  • Work with other team members on the preparation of materials and deliverables for internal and external meetings.

Conservancy Board Support

  • Help schedule and send invites for meetings of the full Board of Directors and various Board committee meetings.
  • Coordinate Board meeting logistics, including venue, setup, and equipment needs.  
  • Serve as point of contact for Board members on logistical matters.
  • Assist Directors with the preparation and distribution of materials for Board and committee meetings. 
  • Take meeting minutes for full Board and Board committee meetings, as assigned. 
  • Maintain board orientation materials and current board and committee rosters.
  • Manage the annual distribution and collection of Board and Employee Conflict of Interest forms.

Staff and Office Management

  • Coordinate response to the Conservancy’s general email inboxes and answer the general Conservancy phone line. Greet office visitors.  
  • Schedule and provide logistical support for staff meetings.
  • Support the operation of the Conservancy office, ordering and stocking supplies, distributing mail, and serving as liaison to IT service providers. 
  • Update the staff directory and Conservancy phone system.
  • Manage the uniform program, including conducting inventories and ordering.
  • Manage the Conservancy’s Zoom and DocuSign accounts. 
  • Support the HR Generalist in posting open positions on job boards and onboarding processes. 
  • Provide administrative finance assistance, as assigned.
  • Perform other duties as directed or as needed. 

Skills and qualifications

  • Strong organizational skills and attention to detail.
  • Strong writing and communication skills.
  • Ability to manage delegated tasks effectively.
  • Ability to take initiative and problem solve. 
  • Computer and professional skills needed to accomplish tasks (including but not limited to Google and Microsoft Suites, Zoom).

  • Ability to work occasional scheduled evenings.

Logistics

  • This is a full-time (40 hours per week) non-exempt position with full benefits.
  • Work hours are generally Monday through Friday, but flexibility is required for scheduled evening board meetings.
  • Work will generally take place indoors, but the position will require some amount of time in the park. 

Compensation and Benefits

  • The salary range $48,000-$52,000 per year
  • The Greenway Conservancy offers competitive benefits including:
